Network diagrams are boring until you need one
A while back I realized most people only care about network diagrams in two moments: when they have to explain the network to someone else, and when something is broken and nobody remembers how the network is actually put together.
For a long time, I treated diagramming like “nice to have” documentation. Useful, sure, but never urgent. Then I spent enough time in IT and MSP work to learn the obvious lesson the hard way: the worst time to figure out a network is during an outage, a firewall cutover, or a security incident. At that point, a good diagram stops feeling like paperwork and starts feeling like oxygen.
That is really why I wanted to write about network diagramming. It sounds boring on the surface, but it is one of those habits that quietly makes everything else better. Troubleshooting gets faster. Projects get cleaner. Hand-offs get less painful. Security conversations stop being vague. Even basic things like onboarding a new tech or explaining a site to a vendor get easier when you can point to one living picture and say, “This is how it is supposed to work.”
Why network diagramming matters more than people think
A good network diagram is not just a map of devices. It is a decision-making tool.
When I look at a useful diagram, I want it to answer a few practical questions fast:
- What is connected to what?
- Where does internet traffic enter and leave?
- What depends on the firewall, the switch stack, the ISP handoff, or a site-to-site VPN?
- Where are the trust boundaries?
- Which VLANs, subnets, SSIDs, and WAN links matter?
- What is cloud-managed versus locally managed?
- If something breaks here, what else goes down with it?
That last question matters a lot. A network diagram is one of the easiest ways to understand blast radius before a change and impact after a failure.
It also matters for security. Segmentation sounds great in meetings, but a diagram forces honesty. If the guest Wi-Fi can still reach things it should not, or a management network is hanging off the wrong place, or a remote access path is wider than everyone thought, the diagram tends to expose it pretty quickly.
How I like to build a network diagram
There are a hundred ways to do this, but the method that has worked best for me is simple.
1. Decide who the diagram is for
This is the first thing I think people skip.
A diagram for leadership should not look like a diagram for the person doing the firewall migration at 10:30 at night. One should show the big picture. The other should show enough detail to keep someone from making an expensive mistake.
Most environments really need at least two diagrams:
- A high-level diagram for communication
- A technical diagram for operations and troubleshooting
Trying to force both jobs into one giant masterpiece usually gives you a diagram that satisfies nobody.
2. Separate physical from logical
This is probably my strongest opinion on the subject.
A physical diagram should answer where things are and how they are cabled or linked. A logical diagram should answer how traffic is segmented and how systems communicate. When those two get smashed into one page, the result usually becomes cluttered fast.
Physical diagrams are great for:
- Racks
- Switch uplinks
- Patch panels
- Firewall HA pairs
- ISP handoffs
- Wireless controller placement
Logical diagrams are better for:
- VLANs and subnets
- Routing
- VPNs
- Trust zones
- Cloud connectivity
- App and service flows
You can absolutely reference one from the other. I just would not force them into the same visual unless the environment is very small.
3. Start at the edge and work inward
When I sit down with a blank canvas, I usually start with the internet edge first.
That means:
- ISP or ISPs
- Modem or handoff device
- Firewall or firewall pair
- Core switching
- Distribution or access switching
- Wireless
- Servers, NAS, hypervisors, printers, cameras, and other major endpoints
- Cloud services, remote users, and VPN paths
Starting at the edge makes it easier to follow the path that actual traffic takes. It also helps keep the diagram grounded in reality instead of turning into a random collection of icons.
4. Label only what matters
A common mistake is over-labeling everything.
You do not need to turn a diagram into an IPAM replacement. But you do need enough information that another person can understand the environment without having to guess.
The labels I usually care about most are:
- Device name
- Device role
- VLAN or subnet name
- Network range where it matters
- WAN circuit or ISP label
- VPN type or tunnel purpose
- Important services or dependencies
If a label does not help somebody make a decision or troubleshoot faster, it probably does not need to be there.
5. Show boundaries, not just boxes
This is where good diagrams become genuinely helpful.
Do not just show devices. Show zones.
Examples:
- Trusted LAN
- Server network
- Voice network
- Guest network
- IoT or camera network
- Management network
- DMZ
- Remote office
- Azure or AWS environment
Once those boundaries are visible, security discussions get more concrete. It becomes easier to ask whether access across those boundaries is intentional, necessary, and documented.
6. Add a date and an owner
This sounds tiny, but it matters a lot.
A network diagram without a date is suspicious.
A network diagram without an owner is a future problem.
If no one knows when it was last updated or who is responsible for keeping it current, it will slowly become decorative instead of useful.
7. Store it where the team will actually find it
The best diagram in the world is not worth much if it lives on one person’s desktop.
Put it wherever your actual documentation lives. That might be a documentation platform, SharePoint, a password/documentation system, a project workspace, or even a version-controlled repo for internal docs. The specific platform matters less than consistency.
The mistakes that make diagrams useless
I have seen a lot of diagrams that technically exist, but do not really help.
Here are the patterns that tend to cause the most trouble:
Making one giant everything diagram
The bigger the environment, the less helpful a single-page everything-map becomes. Break it into views.
Prioritizing pretty over readable
Nice icons are fine. Perfect symmetry is fine. But readability wins every time.
Leaving links unexplained
A line between two devices should mean something. Trunk? Access port? VPN? Internet handoff? Redundant uplink? If it matters, label it.
Never updating it after changes
This is the classic failure. The diagram gets created during a project, everyone feels accomplished, and then six months later the environment has drifted.
Using the diagram as a substitute for documentation
A diagram is not the same thing as full documentation. It should work with your config backups, asset inventory, IP plan, change records, and operational notes.
Network diagramming tools worth looking at
There are a lot of options out there, but most of them fall into three broad buckets:
- Manual diagramming tools for drawing, documenting, and sharing
- Collaborative whiteboard tools for planning and working through ideas with other people
- Auto-discovery and live-visibility tools for networks that change too often to rely on static diagrams alone
There is no single best tool here. The right choice really depends on whether you care most about cost, collaboration, polish, or live visibility. This is how I would break them down based on how I would actually use them.
Free and low-friction options
diagrams.net / draw.io
Best for: Most people and most networks
Pros: Free, flexible, easy to recommend, imports Visio, Lucidchart, and Gliffy files, and works well for clean technical diagrams.
Cons: Less polished for team governance, can get messy without standards, and is not discovery-driven.
My take: This is still one of the easiest recommendations to make. If you want something practical without spending money, this is probably where I would start.
yEd Graph Editor
Best for: People who need auto-layout help
Pros: Great automatic arrangement, desktop app, and useful for cleaning up dense diagrams.
Cons: Feels more utilitarian than modern, and collaboration is not its strength.
My take: Not flashy, but dependable. I like it more for function than aesthetics.
Excalidraw
Best for: Fast brainstorming and architecture conversations
Pros: Very fast, low friction, collaborative, and great for roughing out ideas.
Cons: The hand-drawn look is not ideal for final authoritative documentation, and it is less structured for formal network records.
My take: Great for getting ideas out of your head quickly. I would use it for planning, not as my final source of truth.
Collaboration-first options
Lucidchart
Best for: Teams that care about collaboration and templates
Pros: Easy sharing, lots of templates, and approachable for mixed technical and non-technical teams.
Cons: Premium features add up, the free tier is limited, and it is not my favorite for deep technical fidelity.
My take: A strong choice for teams, especially when you need diagrams to look polished and be easy to share.
Miro
Best for: Collaborative planning sessions and workshops
Pros: Excellent live collaboration, good templates, and great for design sessions and cross-team planning.
Cons: Boards can sprawl fast, the structure is looser, and it is not always the best final source of truth.
My take: I like Miro more for working through ideas with people than for housing the final diagram long term.
Microsoft Visio
Best for: Enterprise environments already living in Microsoft
Pros: Familiar in a lot of IT shops, strong stencil ecosystem, and good for formal documentation and standardization.
Cons: Can feel heavy, the desktop experience still matters for the better features, and pricing is not the friendliest if you only diagram occasionally.
My take: Still relevant because so many businesses use it. Not the most exciting option, but definitely still a practical one.
Discovery and live visibility tools
SolarWinds Network Topology Mapper
Best for: Teams that want automatic discovery and mapping
Pros: Automatically discovers devices, helps build maps fast, and is useful when manual documentation is behind.
Cons: Still needs cleanup and validation, adds another tool to manage, and is not a substitute for operational discipline.
My take: Helpful when you inherit a network that is under-documented, but auto-generated maps still need a human pass before I would trust them.
Auvik
Best for: MSPs, multi-site environments, and fast-changing networks
Pros: Continuously updated topology, multi-layer visibility, and especially strong when networks change often.
Cons: Overkill for tiny environments, ongoing cost, and dynamic maps still do not replace clean human-facing diagrams.
My take: This makes a lot of sense in MSP-style environments where static diagrams age out quickly, but I still would not let it replace clean documentation.
My honest take on each one
diagrams.net / draw.io
If someone asks me for a default recommendation and gives me no other context, this is usually it.
It is hard to argue with free, capable, and widely usable. It is also one of the easiest tools to adopt without turning the recommendation into a budget conversation. For solo admins, small teams, homelabs, and a lot of SMB environments, it hits the sweet spot.
If you have decent standards for shapes, labels, and layout, you can get really solid output from it.
yEd Graph Editor
I do not think people talk about yEd enough.
Its big advantage is layout. If you have ever stared at a spaghetti mess of relationships and wanted the software to help untangle it, yEd is surprisingly good at that. I would not call it flashy, but it is useful in a very real way.
Excalidraw
I like Excalidraw for the same reason I like whiteboards during technical conversations: speed.
It is great for architecture sessions, rough topology conversations, project planning, and “let me show you what I mean” moments. I would just be careful about treating it as the final authoritative network record. To me, it is more of a thinking tool than a long-term documentation system.
Lucidchart
Lucidchart makes a lot of sense when collaboration matters more than absolute technical purism.
It is approachable, easy to share, and generally friendly for teams where not everyone lives in networking every day. If you need something that product people, managers, vendors, and engineers can all open without friction, Lucidchart has real value.
My hesitation is that it can start to feel pricey if your use case is basically “I need to make good network diagrams and not much else.”
Microsoft Visio
Visio still has gravity in IT.
Part of that is history. Part of it is enterprise inertia. Part of it is that a lot of organizations already trust it and already have processes built around Microsoft 365.
If you are in a larger environment with standard templates, established review processes, and a need for more formal documentation, Visio still makes sense. I just do not think it is automatically the best choice for everyone anymore.
Miro
Miro is not the tool I would pick first for crisp, final network documentation.
But for collaborative architecture sessions? Absolutely.
It is good when you are working through ideas with a team, sketching network boundaries, discussing segmentation, or planning a migration. I think of it as a room, not a filing cabinet. It helps people think together. That is valuable. You just may want to move the final cleaned-up version into something more structured later.
SolarWinds Network Topology Mapper
This is where the conversation changes a bit.
Manual diagrams are great, but if your environment changes fast, your documentation can fall behind fast too. Discovery-driven tools help close that gap. SolarWinds Network Topology Mapper is useful when you need to discover what is actually on the network and turn that into a starting point quickly.
The key phrase there is starting point. Auto-generated maps still need human judgment.
Auvik
Auvik makes the most sense to me in MSP, distributed, and constantly changing environments.
The value is not just that it builds a map. The value is that it keeps adjusting as the network changes. That matters a lot when you are dealing with multiple sites, multiple clients, and limited time. Still, even a dynamic topology map is not the same thing as a well-designed human-friendly diagram for projects, onboarding, or executive communication.
What I would use in the real world
If this were my environment, this is how I would think about it:
Small business, home lab, or single-site office
Start with diagrams.net.
It gives you the most value for the least friction.
Team workshops, cloud planning, or early design conversations
Use Miro or Excalidraw first, then move the finished design into a cleaner long-term format.
Formal enterprise documentation
Use Visio or Lucidchart , depending on whether your organization leans more Microsoft-heavy or collaboration-heavy.
Messy environments where nobody fully trusts the documentation
Use SolarWinds Network Topology Mapper or Auvik to help discover reality, then clean up the parts that humans actually need to read.
That is the part I think matters most: discovery tools are excellent for seeing what exists, but human-made diagrams are still better for explaining what matters.
The real goal is clarity
At the end of the day, I do not think the best network diagram is the prettiest one or even the most detailed one.
I think the best network diagram is the one that helps the next person make the right decision faster.
That might be you during an outage. It might be a coworker handling a cutover. It might be a security analyst trying to understand segmentation. It might be a new hire getting familiar with the environment.
A diagram earns its keep when it reduces confusion.
That is why I keep coming back to them.
Not because diagramming is glamorous. Not because it feels especially exciting on a random Tuesday. But because in networking, confusion is expensive. Good documentation is one of the cheapest ways to fight it.
And honestly, that is enough reason for me.
